Quality

The most cost-effective data capture is "keyed-only," where operators key the information they see or hear. Valid-value tables, such as lists of valid responses or Postcodes / County / City name tables, ensure accuracy by providing front- or back-end edits of the keyed data.

We also make use of check-digit algorithms, banking wizard software and other such techniques. These enable single-pass data entry to typically approach 98% accuracy.

Ducument Processing

The first port of call of data capture - inbound mail processing - can be as simple as receiving, logging, opening, extracting, sorting, prepping, and batching documents. It can also include establishing P.O. Boxes, handling daily mail pick-up, and reporting daily receipts. As soon as mail is received, regardless of how it is received, we begin tracking of the documents through the production cycle, from batching to output. Often this process is carried out by our clients/partners in onshore facilities.

Data Entry from Paper

Once mail handling is complete, data entry occurs. Operators receive one batch of documents at a time, key the work, and return the batch to a supervisor who logs the batch in. Quality is maintained through extensive monitoring, real-time edits, address verification software, and back-end edits. An additional technique to improve quality is the use of verification data entry, where a second operator keys what the first operator keyed and corrects any discrepancies the system identifies. This technique produces a guaranteed accuracy rate of 99.5% or better.

Data Entry from Images

Data entry from image allows tighter document security, faster turnaround, lower costs and reduced document storage and retrieval costs. The key to image-based data entry is the scanning of each document and the TIFF image that results. In many cases, XanaduTec would perform the scanning function; in others, the client already has scanning capability and transmits the images to us via secure FTP or other means.

Forms Processing

We provide manual entry and OCR (Optical Character Recognition) for all kinds of forms such as Surveys, Application/Subscription forms, Medical records, Insurance claims, Coupon Redemption's, Shipping documents, Invoices etc. We can handle these in either paper formats or key from image.

ORC Data Capture

OCR (Optical Character Recognition), along with its relatives, ICR, OMR (mark sense), IMR, and IFR, have evolved as useful tools for many data capture applications. We have the knowledge to help you find the right applications for these money-saving techniques. Our ability to offer an amalgam of OCR and Manual Data Entry allows for us to offer 99% and upward accuracy guarantee. Character recognition technologies on their own are limited in the types of documents that they can accurately handle. We are always happy to advise our clients on the most cost-effective solutions to their needs

Document Imaging, Storage and Retrieval

XanaduTec offers a variety of imaging, storage and retrieval solutions, from basic CD-based systems that allow you to enter search criteria and retrieve an image of the document and its related data file, to sophisticated systems that allow multiple users to access millions of images and data files via a Web browser.

Microfiche / Microfilm Conversion, Storage and Retrieval

We have special expertise in handling the conversion from Microfiche / Microfilm to Digital TIFF images. We also offer a service where we take over the headache of managing the archive and store it in our secure premises. In such instances we offer our clients a 4-hour turnaround on delivery of images from the archive back to their desktops via email/web browser. Usually, this is 5 times faster than traditional methods.
